Every stage below reflects how the real product actually works. The specific names and numbers shown are clearly labelled examples, not a real client's data.
1. Lead arrives
A prospect submits a form on your site. The lead is persisted immediately, with full attribution (source, campaign, referrer) captured.
Example (demo data): Example lead: "J. Carter" - submitted via a Google Ads campaign, landing page /pricing.
2. AI qualification
Deterministic rules you define run first; an optional AI step adds a bounded adjustment on top - never a replacement for your own criteria.
Example (demo data): Example result: score 82/100, category QUALIFIED - "inside service area" (+40), "budget mentioned" (+25), "valid phone" (+17).
3. Immediate acknowledgement
An on-brand acknowledgement email goes out the moment the lead is qualified - before the prospect has looked elsewhere.
Example (demo data): Example send: "Thanks for reaching out, J - we'll be in touch within one business hour."
4. Follow-up automation
If there's no reply within a configured window, a scheduled follow-up goes out automatically - and stops the moment the lead books or opts out.
Example (demo data): Example: a second message sent 72 hours later, automatically cancelled once the lead books.
5. Booking
Qualified prospects can book directly against your real availability, timezone-aware, without a back-and-forth email thread.
Example (demo data): Example: booked a 30-minute call for the following Tuesday, 10:00 local time.
6. Pipeline
Once booked, an opportunity appears on your pipeline board automatically - move it through stages as the deal progresses.
Example (demo data): Example: opportunity moved from "New" to "Booked" to "Won", £349/month value.
7. Analytics
Every stage above reconciles back to a real dashboard - leads, qualified, booked, won, and which source they came from.
Example (demo data): Example: 14 leads this month, 6 qualified, 3 booked, 1 won - grouped by source.
